If you are submitting hardcopy, the Cover Sheet should be the first page of each task’s submission.

If you are submitting electronically, print out the cover sheet, fill it out and sign it, then scan this and submit the file.

Assessment Task 1 Instructions

Provide answers to all of the questions below:

Explain the origins and the concept of the term group dynamics.

Group dynamics was founded by “Kurt Lewin” to study group decision, group productivity, group interaction, group cohesiveness and group communication. The underlying assumption was that the laws of the specific activities of group irrespective of the structure of the group. Group dynamics is the study of groups, and also a general term for group process. In group dynamics, the phrase “group process” refers to the understanding of the behavior of people in groups, such as task groups, that are trying to solve a problem or make a decision. Thus, “Group dynamics is concerned with the interaction of forces among group members in a social situation.” Good Response

Explain three aspects of group dynamics that can have a negative effect on team performance.

1. Awful communication To have “good communication” at firm requires that you implement far more than just a two way conversation system. You need to truly listen to what others are saying or requesting and teach them how to communicate updates as soon as they are available. Same goes for problems.
2.Favoritism Giving one employee an advantage over the other will certainly have a negative effect on the atmosphere at your office, and it will unavoidably make your other workers feel like they don’t matter as much as they think they do.
3. Highly competitive surrounding without clear and defined group goals. It is important to encourage rivalry at the office, but only to some extent. Working effectively as part of a team is incredibly important for output quality, morale, and retention. Thus, it is of great value for you that your workers feel like they’re not always competing with one another. Good

Discuss in 3 to 4 paragraphs the phenomenon of social loafing in groups, its negative consequences and the effect of group size and culture.

Social loafing refers to the concept that people are prone to exert less effort on a task if they are a group versus when they work alone. The idea of working in a group is typically seen as a way to improve the accomplishment of a task by pooling the skills and talents of individuals in that group. But, in some groups, there is a tendency on the part of the participants to contribute less to the group’s goals than if they were doing the same tsk themselves. Talking about the negative consequences of the social loafing. Social loafing has negative consequences for both the group and the individuals in the group. The group dynamics is affected when certain individuals are seen as weak contributions to the group purpose. It tends to split the group and fosters a lack of cohesion. For example, if only five of them work, it will often create an in group (those members that are working hard) and ‘out’ group (those members that are not contributing as much). Resentment can easily build between the two factions, causing less productivity and more emotional tension that a cohesive group would experience. Individual in group can also be affected by social loafing. While there is a disparity of effort between members of a group, individuals start to gauge their own effort based on what others are doing instead of maintaining a standard of excellence toward achieving the goal. This lowers the level of satisfaction for the task in all members of the group for example, if a motivated team member repeatedly feels others are relying on them to do most of the work, they might deliberately reduce their workload or even stop collaborating with group members because they no longer wants to feel exploited by the less productive members. Now, effect of group size; the larger the group, the more likely it is the social loafing will occur, for example, if you have ten members of a group working on a project, it is easier for an individuals who are not motivated or productive to hide because there are more people to pick up the slack. Social Loafing, defined as the tendency to reduce effort when working in a group, continues to be of interest both to researchers and practitioners. Causes of social loafing have been examined extensively, with several group member demographic factors found to be related to the phenomenon. The connection between motivation loss and culture has proven to be especially robust, as has the link between gender and behavior in work groups. Good Response

Discuss three strategies for preventing social loafing in groups.

The three strategies that can be used to prevent social loafing are giving below; Keep the team small Develop the rules of engagement Assign separate and distinct contribution for every team member.

Discuss in a paragraph the phenomenon of Groupthink.

Groupthink is a phenomenon that occurs when a group of individuals reaches a consensus without critical reasoning or evaluation of the consequences or alternatives. Groupthink is based on a common desire not to upset the balance of a group of people. This desire creates a dynamic within a group whereby creativity and individuality tend to be stifled in order to avoid conflict.

Outline three advantages and three disadvantages of group decision-making.

The three advantages and disadvantages of group decision making are given below: Advantages 1. More information: A group is better equipped as far as information is concerned. An individual cannot have all the information that is available to a group as it consists of several individuals. 2. Diversity of views: A group always has the advantage of varied views. This is because a group always has more than one member, and since every member is unique, there is bound to be a variety in their views also. This is also the reason why there are varied approaches to solving a problem. As group decisions tend to cover a greater area, they provide a better insight for decision-making. 3. Encourages people’s participation: A group usually provides a platform for people to present their ideas. Group dynamics is more likely to draw out participation from people who may otherwise be hesitant to talk or interact. It encourages people to take an initiative as they feel part of the decision making process. Usually there is no individual onus (burden) in the event of failure, which makes it easier for people to come up with suggestions and solutions to problems. Disadvantages 1. Time-consuming: A group involves several individuals. Getting them organized, planning and coordinating their meetings, defining and explaining to them the purpose of a meeting and the goals, and finally reaching a solution or arriving at a decision can be quite cumbersome. Making decisions in a group can, thus, be time-consuming. The time loss involved in group dynamics cannot be ignored. 2. Compromise decisions: The need to arrive at a group decision sometimes results in a compromise. The solution offered is not essentially the best. It is, instead, a compromise acceptable as a mid-point to all concerned. There are different demands and social pressures, and members may agree to a proposal without really evaluating it. Such support may not be wholehearted. 3. Expensive: Group decision-making is quite expensive in terms of time, money, energy and man-hours. There is also a theory which says that the larger a group gets, the less is the individual contribution from each member. Good Response

Explain the concept of a team consensus.

A consensus decision is one that all team members can support. It may be, but is not necessarily, the alternative most preferred by all members. When true consensus is reached through a process in which everyone participates, the output is usually a superior quality decision.

Discuss two methods that can be used to assist teams to reach consensus.

Consensus is defined as “an opinion or position reached by a group as a whole” by the American Heritage Dictionary. Consensus decision making is the process used to generate widespread agreement within a group. These instructions will guide you through that process. Methods include: Co-operation. All the people involved collaborate and build upon each other’s concerns and suggestions to come up with a decision or solution that will satisfy everyone in the group, rather than just the majority (while the minority is ignored). Solution-mindedness. An effective decision-making body works towards a common solution, despite differences. This comes through collaboratively shaping a proposal until it meets as many of the participants’ concerns as possible. Good Response

It is important to have an effective dispute resolution process because dispute resolution processes have several advantages. Assessment Task 2: Team performance planning project

Task summary

As the Marketing and Communications Manager for Football South East Coast (FSEC), you are required to develop a team performance plan to support the new Operational Plan.

You will also be required to meet with your team to discuss and document team actions to achieve the Operation Plan. Actions will be recorded in the Team Performance Planning template.

This assessment is to be completed in the simulated work environment in the RTO.

Assessment Task 2 Instructions

Carefully read the following:

Football South East Coast is sporting association based in a small town on the NSW South Coast and is responsible for administration and development of football for the NSW South East Coast. The association employs a General Manager, Operations Manager, Marketing and Communications Officer, High Performance Athlete Development Officer, Marketing Officer, Promotions Office, Administration Manager and Receptionist.

FSEC’s Vision is to be the number one sport played through South East NSW.

FSEC’s Mission is to grow football by supporting members and the football community through, strong leadership, sound communication and the provision of a clear strategic direction that secures the sport’s long-term prosperity.

Values listed in its current Strategic Plan include:

Operating with trust and Integrity with each other, as well as with members and the community.
Customer focus through appreciation of interests and passion of our members and the broader football community.
Camaraderie through recognising the superior strength and efficiencies of good team work

One of the organisation’s key strategic goals is to improve participation in community football, specifically to increase the total number of players by 4% in 2018.

Another goal is to increase the participation of girls aged between 5 and 18 by 2% in 2018.

These goals have been translated into an Operational Plan for the organisation.

As the Marketing and Communications Manager, you are responsible for the following key result areas: Membership Growth, Programs and Events and Volunteer Development.

Conduct a meeting with the team.

Prepare for a meeting with your team to discuss the new Operational Plan and to develop a team performance plan by reviewing the organisational information provided to you above, as well as the Operational Plan. Familiarise yourself with the Team Performance Plan Template, as you will be completing this document after the meeting.

As communications manager, you are required, as a minimum, to cover the following during the meeting:

Provide an introduction to the meeting, including the purpose of the meeting
Indicate to all team members that it is important for them to take an active role in the planning meeting so that their ideas for implementing the strategic plan and associated goals for the upcoming 12 months will be taken into consideration and included in the team performance planning framework.
Ensure that all team members have read the Operational Plan that you sent in the email. Give them the opportunity to ask questions if anyone needs clarification. You should explain to the team any parts of the Operational Plan that are not understood.
Work with your team on each section of the performance planning template. Ask your team for ideas and write them up on the white board.

During the meeting, your assessor (in the role of a staff member) will raise a workplace concern during the team performance planning session. Concerns or problems that are outside your authority will have to be discussed with the General Manager. Tell the team that you will get back to them shortly with a response.

During the meeting, you will need to demonstrate effective interpersonal and communication skills including:

Team building techniques including clear explanation of goals and outcomes
Asking questions and listening to responses to clarify understanding
Active listening skills
Respecting and acknowledging the views of others
Non-verbal communication skills that encourage discussion and feedback, for example, nodding, smiling, eye contact.

Following the meeting, complete the Team Performance Plan Template, incorporating the feedback that you received from the other meeting participants.

The email text should also include:

A request for feedback on the team performance plan.
A schedule of meetings for the next 12 months to support the implementation of the actions documented in the performance plan. The schedule should commence following the meeting date and for the next 12 months. You can decide on the frequency of the meeting.
An outline of the actions you intend to take to address workplace concerns, including the feedback that you received from the General Manager.
A brief overview of the training and development activities that you intend to implement over the next 12 months to address training needs identified in the team performance plan.
